Privacy Collection Notice
Who is collecting your information?
The Victorian Multicultural Commission (VMC) is collecting your personal information. The VMC is expected to transition to a new entity, Multicultural Victoria (MV), from 1 October 2026 and references to the VMC in this notice include MV as its successor.
What personal information do we collect?
When you register for the Premier’s Multicultural Gala Dinner 2026 (the Event), we may collect the following personal information:
- your name, contact details (including email address and phone number), and postal address;
- dietary requirements and accessibility needs;
- organisational or community affiliation;
- information about your racial or ethnic origin; and
- photographs, video and audio recordings of you taken at the Event.
Information about your racial or ethnic origin is sensitive information under the Privacy and Data Protection Act 2014 (Vic) and accessibility requirements may also be health information under the Health Records Act 2001 (Vic). By providing this information, you consent to the VMC (and MV) collecting, using and disclosing it for the purposes of evaluating community diversity engagement and facilitating your attendance at the Event.
Why do we collect your personal information?
We collect your personal information for the following purposes:
- to facilitate Event delivery, including to confirm eligibility to register;
- to contact you with information and updates about the Event;
- to evaluate the reach and engagement of the Event, including into regional Victoria and diverse communities;
- to improve the delivery and promotion of future VMC/MV events and activities; and
- to comply with any applicable legal obligations.
Who do we share your information with?
We may disclose your personal information to the following types of organisations:
- the Department of Premier and Cabinet and the Office of the Premier and the Office of the Minister for Multicultural and Multifaith Affairs, to support Event delivery and analysis;
- organisations and agencies assisting with Event delivery (such as venue operators, catering providers, event management contractors and the ticketing platform provider, Humanitix); and
- Multicultural Victoria (MV), as the VMC’s successor entity.
What happens if you do not provide this information?
If you choose not to provide your personal information, you may not be able to register for or attend the Event and the VMC may not be able to contact you with Event updates.
How can you access your personal information?
You have a right to request access to your personal information held by the VMC, and to request correction of that information if it is inaccurate, incomplete, out of date or misleading. To make a request, please contact the VMC at contact@vmc.vic.gov.au. If you are not satisfied with how the VMC has handled your personal information, you may lodge a complaint with the Office of the Victorian Information Commissioner (OVIC) at ovic.vic.gov.au.
The VMC handles personal information in accordance with the Department of Premier and Cabinet’s Privacy Policy.
Terms and Conditions
Please read these Terms and Conditions before purchasing a ticket. By purchasing a ticket from the Victorian Multicultural Commission (VMC) (or its successor, Multicultural Victoria (MV)), you agree to be bound by these Terms and Conditions.
These Terms and Conditions relate both to the sale of tickets and attendance at events. These Terms and Conditions apply to both the original purchaser and any subsequent ticketholders (“you”). References to the VMC in these Terms and Conditions include Multicultural Victoria (MV) as the VMC’s successor entity.
Variation to Terms and Conditions
The VMC may vary these Terms and Conditions at any time by updating them. Any variations will only apply to ticket purchases made after these Terms and Conditions have been updated.
Refunds, exchanges and replacements
- The VMC does not offer refunds or exchanges as a result of a change in your personal circumstances or due to external factors such as, for example, adverse weather. VMC will only provide a refund or exchange a ticket if an Event is cancelled, rescheduled or significantly relocated (and you cannot or do not wish to attend the rescheduled or relocated Event), or to the extent otherwise required by law (including the Australian Consumer Law). If an Event is cancelled, you do not need to apply for a refund as we will automatically attempt to process a refund back to the original payment method used to purchase the ticket. Otherwise, you must apply for a refund by the earlier of: (a) 4 weeks after notification of the reschedule or relocation; or (b) 72 hours prior to the Event. If you do not request a refund by that date, you will have agreed to the reschedule or relocation and will not be entitled to claim a refund;
- If the Event is cancelled, rescheduled or significantly relocated, all liability is limited to the amount for which the ticket was purchased (including any fees or charges unless otherwise notified at time of purchase). Proof of purchase may be required for any refund or exchange. Unless required by law (including the Australian Consumer Law), VMC will not be liable for any other losses incurred by you as a result of the cancellation, rescheduling or relocation of an Event, including any travel and accommodation expenses;
- VMC will only replace lost, stolen, damaged or destroyed tickets if the authenticity of the ticket can be verified, including proof of purchase, and if you give reasonable notice before the Event. VMC may charge a reasonable fee for the replacement of tickets.
- You should carefully consider the refund and cancellation policies of travel, accommodation and other goods or service providers when making arrangements for attendance at an Event. You may also wish to consider taking out a relevant insurance policy to cover for any losses in the event of cancellation, rescheduling or relocation;
Variations to performances or events
- VMC reserves the right to add, withdraw, reschedule or substitute artists, performers, speakers and/or vary advertised programs, prices, venues, seating arrangements (including ticket categories) and audience capacity.
Conditions of entry
Admission to the Event is subject to VMC's terms and the venue’s conditions of entry.
- You may be denied entry into, or removed from, an Event or have your ticket refunded prior to entry where VMC has reasonable grounds to do so, including if you breach these Terms and Conditions, or you are intoxicated, under the influence of illicit drugs, inappropriately attired or adversely affecting the enjoyment of the Event by others.
- If you arrive late, you may not be admitted until a suitable break in the Event.
- You may be required to submit to a search of your person and/or possessions before entering the Event.
By attending the Event, you acknowledge and agree that the VMC (and MV as its successor) may photograph, film and make audio and video recordings of you at the Event (collectively, Images). You grant the VMC and MV a non-exclusive, irrevocable, royalty-free, worldwide licence to use, reproduce, modify, publish and distribute the Images for any purpose connected with the VMC’s or MV’s functions, including promoting the Event and future VMC/MV events and activities, publication on VMC/MV websites and social media channels, and inclusion in VMC/MV publications, newsletters and promotional materials. This licence is granted for an unlimited duration and survives the transition from VMC to MV. You acknowledge that you will not receive any payment or other compensation for the use of the Images.
If you voluntarily submit photographs or video taken by you at the Event to the VMC or MV (including by tagging VMC/MV social media accounts), you grant the VMC and MV the same licence described above in respect of those photographs or video. You represent and warrant that you have obtained the consent of any other individuals depicted in those photographs or video to the use of their image as described above. You also consent to all acts or omissions by the VMC and MV in respect of those photographs or video that would, but for this consent, infringe your moral rights under the Copyright Act 1968 (Cth), to the extent permitted by law.
You may withdraw your consent to the future use of your Images at any time by contacting the VMC at contact@vmc.vic.gov.au. However, withdrawal of consent does not affect Images that have already been published or distributed and the VMC/MV is not required to take steps to recall or remove them. If you do not wish to be photographed or filmed at the Event, please notify VMC staff at the registration desk on arrival and reasonable efforts will be made to accommodate your request.
- You agree to comply with all Government directions, orders and regulations relevant to attending live events, which may be in place at the time of the Event.
- You are responsible for knowing the contact details of all attendees in your group. In the event you are contacted directly by the Government, including the Department of Health for the purposes of contact tracing, you must: (a) make the contact details of your group available to the Government (if you have the consent of each group member to do so); or (b) contact each member of your group, and request that they provide their contact details to the Government directly.
- When attending the Event, you and each attendee in your group agree to assume all risks associated with COVID-19 or other such communicable diseases.
Authenticity and validity of tickets
- Entry to an Event may be refused if the authenticity or validity of a ticket is questionable, including because the ticket has been damaged or defaced in any way, or has not been purchased from Humanitix or other authorised points of sale.
Resale of tickets and scalping
Tickets may not, without the prior written consent of VMC, be resold or offered for resale at a premium (including via on-line auction or other unauthorised resale sites) or used for advertising, promotion or other commercial purposes (including competitions and trade promotions) or to enhance the demand for other goods or services. If a ticket is sold or used in breach of this condition, the ticket may be cancelled without a refund and the ticketholder of the ticket may be refused admission
SCALPING WARNING: The resale of tickets in certain circumstances is governed by ticket sales legislation and may attract criminal penalties.
Limitations on number of tickets purchased
- When purchasing tickets for a particular Event you may be limited to a specified number of tickets. If you exceed the stated ticket limit, you may have any or all of your orders and tickets cancelled without notice by VMC at its discretion. This includes orders associated with the same name, e-mail address, billing address, credit card number or other information. Ticket limits apply to ensure fair access to tickets for fans, and as a measure to minimise ticket scalping.
System errors
- While VMC takes all reasonable care to ensure that tickets are correctly priced and only available for sale when intended, sometimes errors may occur. VMC may cancel an order made as a result of any such error, although in the case of a pricing error VMC will endeavour to contact you to give you the option of purchasing the ticket at the correct price.
Customer errors
- If an error on your behalf results in VMC reprocessing the ticket transaction at your request, Humanitix may charge to you the actual costs incurred in reprocessing the ticket transaction, including any chargeback or postage fees charged to Humanitix by a third party.
